[Zoho Books] How to Manually Import and Upload Bank Statement?

In Zoho Books, apart from leveraging the auto feed connection with your local bank to allow live feed of your bank transaction, you would also be able to manually import and upload your monthly bank statement for your monthly bank reconciliation activity. The manual import of bank statement is an alternative option should the auto feed connection experiencing connection or technical glitch.

Let's take a look the 3 steps involve in importing your bank statement:
  1. Configure
  2. Map Fields
  3. Preview
To begin, go to Banking module and select your respective bank account.



Head over to Setting>Import Statement.



Step 1 - Configure

  1. Now we are at the first step. As for a first timer conducting the manual import of bank statement it is advisable to download the sample file preferably in CSV or XLS format to view how your bank statement should be presented prior to import it into Zoho Books.

 
If your bank statement is in PDF format, you are required to convert it into CSV or XLS format. 
  1. Next, you will need to adjust your bank statement to include the following key headers:
    1. Date
    2. Description
    3. Deposits
    4. Withdrawals
  1. It is not necessarily to have the exact header name as the bank statement sample, as long as you are aware which to map against Zoho Books fields. More clear explanation regarding this in the Step 2 - Map Fields.
  1. Upload your adjusted bank statement into Zoho Books.

  1. Select "Amount Column Type" and proceed by clicking Next.


Your bank statement should consist of either one of the following formats:
  1. Double Column - Separate amount columns for withdrawals and deposits.
  2. Single Column and Amount Type - Has amount column and another column indicating if it is a debit or credit.
  3. Single Column with Negative Values - Single amount column with negative values as withdrawals.

Step 2 - Map Fields

  1. This step involves mapping up your uploaded bank statement with Zoho Books field which require you to determine your bank statement column to match against Zoho Books field. This step also allows Zoho Books to capture the value/data from your bank statement to be collected to the relevant Zoho Books field.



Kindly ensure you have selected the same date format as your uploaded bank statement.



Step 3 - Preview

  1. Now your bank statement is ready for import.
